The Opportunity

As a Personal/ Executive Assistant you will work directly with the COO who is based between Berlin and Asia and provide high level of executive administrative support that will allow him to efficiently focus on the most impactful ways to grow the business and to perform his executive and strategic functions. Moreover, you will have the chance contribute to a dynamic, growing company in a highly innovative industry with an excellent working atmosphere and great team spirit.

 Profiles We Are Looking For

  • ·          Background in Business Studies, Economics, Marketing, Communications or Social or Political Sciences
  • ·          A minimum of 2 years of administrative experience for executives or top business leaders in an performance oriented environment with a high need for confidentiality, integrity, and teamwork
  • ·          Passionate about working in a growing company
  • ·          Outstanding communication, research and problem-solving skills as well as high level of attention to detail
  • ·          Fluent in both German and English
  • ·          Ability to work well under pressure and in a rapidly changing environment
  • ·          Ability to multitask and identify key priorities independently
  • ·          Comfortable working on own initiative for long periods or with limited supervision
  • ·          Team player with a patient and flexible attitude
  • ·          Available full-time
  • ·          EU citizen or valid German work permit

Responsibilities

  • ·          Provide administrative support to the Chief Operating Officer
  • ·          Manage the COO`s calendar i.e. plan and schedule meetings and appointments
  • ·          Prepare and edit correspondence, reports and presentations
  • ·          Attend meeting and fulfill representative tasks together with the COO
  • ·          Respond to incoming phone and email enquiries
  • ·          Coordinate and manage extensive business travel, conference and meeting bookings and accommodation for the COO
  • ·          Assisting the COO in business development initiatives, including, identifying new potential clients (research on companies & individuals), analyzing collaboration with existing clients and client reporting, scheduling meetings, managing and conducting client communications on behalf of the Partner
  • ·          Manage and submit expense reports as required
  • ·          File and retrieve documents, records, and reports
  • ·          Collaborate with second Executive Assistant based in our Shanghai office for all Asia related needs
  • ·          Communicate and work with other Assistants to keep them apprised of key events and to improve joint processes
